Terms & Conditions
POS Agent Recon — Please read these terms carefully before using the platform.
1. Acceptance
By accessing or using the POS Agent Recon platform, you agree to these Terms. If you do not agree, do not use the platform.
2. Who Can Use It
- Access is granted by your Organisation on a role basis — POS Agent or POS Admin.
- You may not share your login credentials with anyone.
- You are responsible for all activity that occurs under your account.
3. What You Can and Cannot Do
- Use the platform only for reconciling POS transactions within your Organisation's operations.
- Log transactions accurately and completely. Do not falsify, omit, or manipulate records.
- POS Agents may only access their own data. POS Admins may access all agent data within their scope.
- Do not attempt to access, modify, or interfere with data belonging to other users or the system.
- Do not upload files containing malware, malicious scripts, or fraudulent data.
4. Transaction Accuracy & Edits
- Transactions may be edited within 30 minutes of logging. All edits are tracked with before and after values.
- Any correction outside this window must be made by a POS Admin and is fully audited.
- Statement uploads are used for reconciliation purposes only. The uploaded data becomes part of the audit record.
5. System Access & Security
- Sessions expire after 30 minutes of inactivity. Log out when using shared devices.
- Accounts are locked after 5 failed login attempts. Contact your Admin to restore access.
- Report any suspected unauthorised access to your Organisation immediately.
6. Audit & Compliance
- All activity on the platform — transactions, uploads, edits, approvals, and discrepancy resolutions — is logged.
- Logs are retained for a minimum of 12 months and may be used for internal or regulatory review.
- Users must cooperate with any investigation into discrepancies or suspected misuse.
7. Availability & Liability
- The platform is provided as-is. The Organisation does not guarantee uninterrupted availability.
- The Organisation is not liable for losses arising from system downtime, data errors caused by user input, or misuse of the platform.
- The Organisation reserves the right to suspend access at any time for maintenance, security, or policy reasons.
8. Changes to These Terms
The Organisation may update these Terms at any time. Continued use of the platform after changes are published constitutes acceptance of the updated Terms.
